Testing visitor notifications and host routing
Plan a controlled check of host selection, notification receipt, failure visibility and reception fallback.
To assess host routing, plan a check-in with a fictional visitor. Trace the arrival from selected host to received message and reception follow-up.
Record what the visitor entry says, which notification method is enabled and what staff can see if the message is not sent.
A notification marked sent does not establish that the host received or acknowledged it.
Set the expected hand-off
Use a test directory with an available host, an absent host and two people with similar names. Decide which details the host needs and who covers an unanswered arrival.
Set the escalation point under your own staffing process; do not assume the software will select a replacement.
Scenario / Question to answer
- Correct host
- Did the intended person receive a useful arrival message?
- Similar names
- Can reception recognise and correct a wrong selection?
- Absent host
- Who notices the waiting visitor and takes over?
- Wrong contact detail
- What failure is visible, and who fixes the directory?
- Device or network interruption
- What manual contact route does reception use?
Inspect message content too. A host may need the visitor’s name and location without needing every answer collected at sign-in.
Check who can see a shared inbox or chat notification.
Check the documented product boundaries
Envoy uses the selected host and their employee-directory contact details to route notifications. An administrator enables methods for the location; employees may adjust their preferences within those enabled methods.
An email address can be added as an additional host notification recipient to receive a copy of every visitor sign-in; the host still receives their standard notification via their preferred method.
The visitor log can show notification status.
If a notification does not arrive, troubleshooting guidance recommends checking the directory, personal preferences, enabled methods, chat integrations and whether the iPad was offline.
Envoy warns that an offline iPad can later sync entries without sending notifications for visitors who already signed in.
Sine by Honeywell documents host notifications by SMS, email and push. Its plans page lists Microsoft Teams integration from Small.
Record the proposed check
Have a fictional visitor complete check-in. Ask the intended host to show the received message and its time, then compare that with the visitor entry.
Repeat with a similar host name and a contact detail that cannot receive the chosen method.
If a message does not arrive, inspect the entry, directory, location settings, personal preferences and any integration before deciding where the failure occurred.
Finally, leave the host unavailable. Reception should be able to see the arrival, contact the agreed backup and record who took responsibility.
