Quotation and estimating software
Compare quotation and estimating software by pricing structure, revisions, customer acceptance, permissions and order handoff.
Choose quotation and estimating software by following a price from its first calculation to the work or order created after acceptance. The tool should show what is included, who may change the price, which version the customer accepted, and what information reaches the next team.
Match the tool to the work
A straightforward sales quote may need item descriptions, quantities, prices and a customer acceptance step. A configurable offer may need product combinations or price rules. A service estimate may need optional work the customer selects before a work order is created. Write down which jobs you actually do before comparing feature lists.
Distinguish an estimate from a commitment to deliver. Decide how you describe scope, assumptions, expiry and later changes to customers. The software should make those details visible on the document the customer receives.
If your main need is… / Check first
- Repeatable itemised quotes
- Product catalogue, quantities, discounts and clear totals
- Many valid product combinations
- Configuration rules, rule order and exceptions
- Customer choice between service options
- How selected options affect the accepted total and work order
- Frequent price changes
- Sent-version records, revised acceptance and approval
- Operational handoff
- Field mapping, line-item detail and duplicate prevention
Three documented approaches
Zoho CRM has a Quotes module with quoted products, and quotes can be associated with sales orders. Its CPQ tools can add or suggest products and apply price rules to CRM quotes. Zoho says CPQ rules do not apply to Zoho Books estimates.
Consider this route when product combinations and a CRM sales-order workflow are central. Check the edition and configuration available to your team. Test how overlapping rules behave in your setup.
Zoho FSM approaches estimating from field service. Its estimates can include optional line items and multiple options. Consider it when estimating field service work and capturing the proposed scope.
PandaDoc offers a quote builder inside customer-facing documents. Its documentation covers catalogue products, optional items, recipient quantity choices and bundles. For bundles, its documentation describes recipient quantity editing and optional items when those options are enabled. Evaluate it when the quote is part of a broader document and signing process.
PandaDoc is moving new accounts to Quote builder. Some older pricing-table configurations need special care during migration.
A product may support a feature yet still need setup, an eligible plan or a separate operational system.

- Customer Choice & Scope VisibilityZoho FSM: Captures optional services and parts. PandaDoc: Recipient can edit quantities or select options if enabled. Zoho CRM: Limited to standard quote fields.
- Revision & Version ControlPandaDoc: Version history on Business/Enterprise plans; edits reset signature fields. Zoho: CPQ rules not applied to Zoho Books estimates.
- Handoff to OperationsZoho CRM: Quotes linked to sales orders. Zoho FSM: Estimates convert directly to work orders. PandaDoc: Document signing integrates with workflow.
- Plan RequirementsPandaDoc Quote Builder: Available on Business and Enterprise plans. Zoho CRM CPQ: Requires specific edition and configuration access.
Run one representative quote through each shortlist
Use the same fictional customer and item list in every trial. Include a standard item, an optional item, a discount and a scope note. First, check the displayed total and the version sent to the customer.
Next, change a price after sending. Find out whether the old acceptance route still works and whether the customer can identify the current offer. Finally, accept the revised quote and inspect the resulting order, work order or invoice.
Compare the output field by field: customer, reference, item identity, quantity, agreed price, selected options, scope and tax treatment. Do not assume that a conversion button transfers every note or custom field.
Run a representative quote through each shortlisted tool
- Create quote with standard item, optional item, discount, and scope noteUse identical input across all tools for consistency.
- Verify displayed total and version sent to customerEnsure clarity of pricing and included assumptions.
- Revise price after sending; check acceptance pathConfirm whether old version remains valid and customer can identify current offer.
- Accept revised quote; inspect resulting order/work order/invoiceCompare field-by-field: customer, reference, item, quantity, price, options, tax, scope.
Test estimate details and customer choices
A Zoho FSM estimate can include a summary, expiry date, contact, company and service address, as well as services and parts. The service address may be taken from the asset, company or contact, in that order, or selected from another available address. Check that the estimate captures the location and work details staff need for the job.
For PandaDoc Quote builder, check whether the account’s plan supports the features you need. The builder is available on Business and Enterprise plans.
PandaDoc suggests keeping a quote-builder block to no more than 100 products for performance, while allowing a maximum of 500. For bundled items, recipients can change quantities or select optional items when those options are enabled and they are document signers with at least one assigned field.
Pros and cons of using PandaDoc Quote Builder
- ProsSupports dynamic bundles, recipient quantity changes, optional items, and seamless document signing. Ideal for customer-facing workflows.
- ConsRequires Business or Enterprise plan. Version history erased upon edit. Migration from older pricing tables requires care.
Check what a revision changes
PandaDoc’s version history is available on Business and Enterprise plans. Editing a sent document moves it back to Draft and requires it to be sent again. Signature and initials fields completed by recipients are erased to protect them from signing an altered document. Include that behaviour in your revision test, particularly if a customer has already completed fields.
Review control and ongoing work
Ask an administrator to create accounts for a quote author, a price-rule maintainer and an approver. Attempt the same adjustment with each account. Rule-editing permission differs from permission to change a price on an individual quote. Check the actual send path as well as the editor; an approval that can be bypassed by sending another way offers little control.
Record the time spent maintaining products, rules and templates. A simple quote system can be sufficient when prices are mostly manual and the catalogue is small. Configuration becomes more valuable when repeated combinations create costly errors, but it adds rules that someone must own. Keep the shortest tool list that completes the entire quote, revision and handoff journey.
Check catalogue and configuration limits
In Zoho CRM, quote products are selected from the product list, and the standard quote form can hold up to 200 line items. Choosing a product can populate details such as taxes, price-book discounts and its description; changing a line-item value can also update related values. Test whether those automatic values match your own pricing process.
For Zoho CRM CPQ, check which profiles can view, create, edit or delete product configuration and price rules. These permissions are controlled separately from ordinary CRM profile permissions. Confirm the right people can maintain rules without giving every quote author the same access.
Key limits and performance guidelines
- Zoho CRM Quote Line Items
- Up to 200 per quote
- PandaDoc Recipient Editing Rights
- Only signers with assigned fields can edit bundle quantities or options
- Zoho CRM CPQ Rule Permissions
- Separate from CRM profile permissions; require dedicated roles

- Testing revision handling after a price changeTest sent-quote versions, old acceptance links, reapproval and downstream records when a quoted price changes.
- Checking quote-to-order export options and fieldsUse a field-by-field test to check how accepted quotes become sales orders, work orders or invoices.
- Reviewing user permissions for price adjustmentsCheck who can change catalogue prices, quote discounts and final totals, and whether approval controls the sent version.
