Checking quote-to-order export options and fields
Use a field-by-field test to check how accepted quotes become sales orders, work orders or invoices.
For an accepted quote, identify the intended destination—a sales order, work order or invoice—then check that the destination matches the agreed scope. Zoho CRM documents workflow conversion to a sales order or invoice, while QuoteWerks documents export to QuickBooks as an Estimate, Invoice or Sales Order. Zoho FSM documents an estimate route from a request, and MYOB Exo Job Costing names quote-to-actual-cost and quote-to-invoice actions.
Define the handoff record
List the fields fulfilment needs: customer and delivery details, quote reference, accepted version, item codes, descriptions, quantities, agreed prices, selected options and scope notes. Add any custom fields your team relies on, and mark which values are essential at conversion and which can be completed later.
Use a quote with an optional item, a discount and a custom scope field. Accept only the intended option, then compare the quote and destination side by side; check that each value is present and appears where fulfilment staff will use it.
Check the documented route
In Zoho CRM, a workflow rule for Quotes can include a Convert action when it has a supported trigger and specified criteria. Configure it as a Record Action other than Delete, add Convert under Instant Actions, and select Sales Order or Invoice. The documented setup also specifies criteria and the relevant first-time criteria setting.
Zoho CRM quotes show associated Sales Orders in the quote’s related-record view. Open that view to locate the destination, then compare its customer, line items, quantities, prices and notes with the quote. Quote line items can include taxes, price-book discounts and product descriptions; editing a line-item value changes related values automatically.
QuoteWerks documents exporting a document to QuickBooks as an Estimate, Invoice or Sales Order. Include a quote with eligible line items in the test: a QuoteWerks update notes that export can error when there are no eligible line items.
MYOB Exo Job Costing names Convert Quote to Actual Cost and Convert Quote to Invoice. The former can activate a job, and transactions can be invoiced immediately; the named destination is a job or invoice, not a work order.
In Zoho FSM, create an estimate from a request using Convert to Estimate; the estimate can be accepted or rejected. Check its contact, company, service address, services, optional line items, parts, tax and discount. The documented action creates an estimate, so verify any work-order destination separately.
| Handoff check | Pass condition to define |
|---|---|
| Identity | One destination record is linked to the intended customer and quote. |
| Scope | The accepted items and options match what the customer chose. |
| Price | Quantities, discounts and totals match the agreed offer. |
| Context | Essential notes and custom fields appear where delivery staff use them. |
| Retry | Repeating or correcting the action does not create an unnoticed duplicate. |
Test the awkward cases
Change a price after the first send, accept the revision and convert or export it. Confirm the destination reflects the accepted version. Repeat with an item removed, a blank optional field and a failed or interrupted transfer if the system has an integration.
Pass the route only when the converted record or export contains the agreed version and all essential fields. Have fulfilment staff reconcile missing or mismatched values against the source quote, and identify who investigates a mismatch and which record is authoritative during correction.
