Procurement

Procurement management software

Choose procurement software by checking requests, supplier approval, budgets, orders, receiving and invoice exceptions in one workflow.

Choose procurement management software by tracing one purchase from request to finance hand-off. Check who can approve the spend and supplier, issue the purchase order (PO), record receipt and resolve an invoice difference. A feature list will not show whether those controls work together.

Map the workflow first

Write down the owner and required decision at each stage. Supplier approval and purchase approval are separate decisions; neither proves goods or services were received.

Stage / Question to answer

Request
What information and budget code must the requester provide?
Supplier
Who approves a new supplier or a sensitive change?
Order
Which approved request produced the PO?
Receipt
Can staff record a partial delivery or service milestone?
Invoice
Who resolves a price, quantity or receipt difference?
Finance hand-off
Which fields transfer, and who fixes a failed transfer?

Decide which stages belong in the procurement platform and which remain in your finance system. Check the proposed subscription and configuration before treating a documented capability as available to your team.

Two products to investigate

Procurify documents request routing by department, category or value. Vendor approval is configured separately, and vendors added through CSV import or direct integration bypass that approval flow.

Its accounts payable settings include a control that prevents bill submission for unreceived PO items when enabled. Automated matching documentation describes alerts for unit-cost and received-quantity differences.

It is a candidate when request routing and receiving controls matter, provided you can govern supplier imports and confirm the required accounts payable access.

Precoro documents approval steps based on document type, fields and thresholds.

With its supplier approval workflow configured, requisitions, POs and invoices cannot be confirmed for pending or rejected suppliers.

Requisition amounts can affect budget use when that function is activated through support.

A separate three-way match setting can hold invoice confirmation pending receipt, but its receipt check does not apply to prepayment invoices.

It is a candidate when supplier status and early budget visibility matter; confirm the settings and payment terms that apply to your process.

Ask each vendor to confirm the proposed modules, Australian availability, data location and integration responsibilities.

Check configuration and ownership

Procurify recommends reviewing approval routing when an approver joins or leaves, changes roles, or when the business restructures. Approval thresholds may also need to change as business needs change.

Ask who in your team will maintain each control and what access they need.

In Procurify, editing the accounts payable bill form requires Admin/Superuser access or equivalent permissions. Confirm that the people responsible for those settings will have the required access.

Separate controls that must block a transaction from settings that improve consistency. For example, Procurify can make the invoice number mandatory on every bill submission; decide whether this is a required control for your finance process or an optional preference.

Compare the exception routes

In the demonstration, trigger a missing receipt and confirm what staff see and what happens next.

In Precoro, an invoice held as Pending Receipt after a missing receipt can move automatically to the next workflow step once the receipt is created.

Check whether a product's rule applies to the transaction types your team uses. Include those transaction types when asking the vendor to walk through your process.

Record the control, its owner and the expected next step for each important exception.

Turn requirements into a shortlist

Before demonstrations, classify requirements as essential, desirable or out of scope.

Base the essential list on the stages your business needs the platform to cover, the decisions that must be recorded and the finance hand-off that must work.

Keep sibling topics such as detailed approval configuration and matching tests to a brief confirmation only.

For each essential requirement, ask the vendor to identify the setting or module involved, the role that operates it and the result staff should see.

Then ask for the ordinary route and one relevant exception, such as a changed business structure or an invoice awaiting a receipt.

Finish by recording any dependency that could affect the proposed setup, including required permissions and settings that need activation.

Use one scenario in each demonstration

Use one end-to-end purchase scenario in each demonstration to gather comparable evidence against your essential requirements.

Leave detailed approval configuration, PO matching, budget control and supplier-export testing to the relevant supporting articles.

Confirm only that the proposed setup covers the workflow stages above.

If a product allows an invoice to proceed without a receipt and your process requires receipt before payment, treat that as a critical failure rather than a minor difference.

In this guide

  1. Comparing purchase request and supplier approval featuresSeparate purchase approval from supplier approval and check imports, rejections and supplier changes against your policy.
  2. Testing purchase order matchingUse PO, receipt and invoice cases to check partial delivery, tolerances, exceptions and invoice holds.
  3. Evaluating budget controls in procurement platformsCheck when requests affect budgets, how amounts move through orders and invoices, and what happens at a budget limit.
  4. Checking supplier data export before procurementAssess supplier export fields, permissions, identifiers and completeness before choosing a procurement platform.
