Version history answers a practical question: if a client challenges a term, can the team show what was sent and when? A list of edit timestamps is useful only if it distinguishes internal drafts from the client-visible version.
Create a sample proposal and run four changes: edit a draft, send it, revise its scope after sending, then restore an earlier version. At each step, save the visible version label and check who can view it.
Ask whether restoring content changes approval status, recipient access or signatures. Do not assume a restored draft recreates the legal state of a sent agreement.
PandaDoc documents version history for its Business and Enterprise plans. Its guidance says a version can be created when a document is sent, and that editing a sent document can return it to draft and clear completed signature and initial fields before resend. So test the post-send path, not just the editor's undo button.
Test reusable library items too. Changing a standard clause should not silently rewrite the text in proposals already sent to clients.
Where the system has no immutable sent snapshot, save an agreed PDF or other controlled copy under the organisation's records policy.
Finish with a colleague who did not create the proposal. Can they identify the client-visible version, the current internal draft and the reason for the latest revision? If not, version history has not solved the hand-off problem.
