Comparing process mapping and general diagram tools
Decide when a readable flowchart is enough and when your team needs BPMN notation, validation or a portable model.
Choose by the output your team needs. A general diagram editor can produce a well-maintained process map for clear explanations. A specialist process tool suits defined notation, model checks or a file another process system can use. Flowchart shapes alone do not settle the choice.
Decide what the map must represent
Take a fictional customer request that moves from sales to operations, returns for missing information, then ends in acceptance or rejection. A flowchart can explain that route. A formal model may also need defined events, gateways, participants and an exchange file.
BPMN 2.0 is a published specification for Business Process Model and Notation.
| If the reader needs… | Ask for… |
|---|---|
| A quick explanation | A legible diagram with agreed labels and an update owner. |
| Consistent formal notation | Modelling rules and a reviewer who understands them. |
| Handoff between tools | A model file opened in the destination system, not just a PDF. |
| Automation development | Implementation checks and a test in the target environment. |
Compare the tools against that job
Lucidchart: Lucid's help centre has an article on exporting or printing a Lucid document. If formal BPMN interchange matters, request the exact model output and open it in the receiving tool. A polished image does not prove portability.
Microsoft Visio: Microsoft's web offering includes basic flowcharts and process diagrams. Visio Plan 1 and Plan 2 include a web app, and Plan 2 also includes a desktop app. Microsoft lists BPMN among example diagram types for Plan 2. Check the proposed licence, the app each author will use and the receiving system's file requirements.
Camunda Web Modeler: Camunda's documentation covers Web Modeler, including pages on fixing problems in your diagram and collaborating with your team. A diagram check can reveal certain errors, but it cannot establish that the model matches the real business process.
Tool suitability: Lucidchart, Microsoft Visio, Camunda Web Modeler
- LucidchartPros: Strong export and print options. Cons: Polished image ≠ portable model; verify actual file compatibility with receiving systems.
- Microsoft VisioPros: Supports BPMN in Plan 2; available as web and desktop apps. Cons: Licence type and app choice affect capabilities; confirm file format compatibility.
Check meaning and hand-off
Give each shortlisted tool the same fictional process. Draw the normal route, the missing-information return and the rejection route. Ask a process owner who did not draw it to identify the trigger, responsible person and outcome of every branch. Correct ambiguous arrows before judging the editor.
Where interchange matters, retain the source and open an exported model file in the intended destination. Compare participants, gateways, labels and connections, and record manual repair. Where publication is the only destination, inspect the reader copy at its intended size.
