Part of Translation management software: workflow fit
Checking translator access and permissions
Check project, language, terminology, review and download permissions with realistic translator and reviewer accounts.
Check translator access using the roles people would use. Define which assigned-language content a translator may edit and who may change source text, terms, review states or delivered files. Reviewers, project managers and integration accounts need separate rules.
Write the access rule first
Use fictional content in two projects and two target languages. Prepare test accounts for a translator assigned to one language, a reviewer, a project manager and a former contractor. Decide who may view, edit, review, manage terms, download files and change access.
Action / Boundary to check
- Open another project
- Can the translator see content outside the assignment?
- Switch language
- Can they read or change an unassigned target language?
- Change source or terms
- Are those actions controlled separately?
- Download
- Can the role retrieve unfinished or restricted content?
- Finish a task
- What review, if any, remains required?
- Remove access
- What can the former contractor still open?
Check effective access with each account. Removing platform access cannot retrieve a file already downloaded, and integration credentials may provide another route to content.
Final Access Control Verification Checklist
- Can translator see other projects? No
- Can translator switch to unassigned language? No
- Can source text be changed by translator? No
- Can terms be edited without permission? No
- Can unfinished files be downloaded? No
- Is review required after task completion?Yes, as per workflow rules
- Can former contractor still access content? No, if access is fully revoked
Know the documented role boundaries
Lokalise Expert distinguishes team users from project contributors. Team owners have broad project access; other team users are not automatically contributors to every project. Contributors have readable and editable language lists, and predefined roles with specific permissions can be selected or customised.
Project contributors are added to the corresponding team. Permissions beyond Translator or Reviewer can require an advanced seat. Check each contributor’s role and readable and editable language lists.
Phrase TMS uses the Linguist role for translators, reviewers and proofreaders assigned to jobs or workflow steps. Linguists see assigned projects and the translation memories and term bases assigned to those projects, but cannot change project settings.
Their rights to edit translation memory or terms in an attached term base are separate settings. Linguists can edit jobs only when the job status is Accepted. Workflow steps are ordered, but the next step can become available while previous steps are still active. Check the job status and term-base mode in the proposed configuration.
Rehearse access and removal
Ask the supplier to sign in as each intended role and attempt a permitted translation edit, then a restricted source edit, term change, unassigned-language edit and download. Check search and direct links as well as the normal task screen. Remove the contractor’s assignment and repeat the access checks. Record the account plan, settings and results.
Accept the arrangement when each person can complete their assigned work and the restricted actions remain controlled through every relevant route. Assign an owner to remove access when a job ends and handle previously exported files under the organisation’s records process.
